Connect SMOC to HubSpot

Connect SMOC to HubSpot

HubSpot connects in Console under Settings → Integrations → CRM → HubSpot. Salesforce, Lime, and AiFlow use the same plugin and show Coming soon. Connect stays off for them.

You sign in with HubSpot, then turn on the sync you want. Nothing is copied until a switch is on and you click Save.

What syncs

Two directions:

  • HubSpot → SMOC. Contact lists you pick become imported prospect lists for LinkedIn message flows. Company lists you pick become prospect companies.
  • SMOC → HubSpot. With Sync smart leads on, a lead form on a web flow or a card flow, and a positive LinkedIn reply, are written to HubSpot as a contact.

Zapier is a separate path, with its own API key, for other apps. This page is the HubSpot plugin.

1. Connect the HubSpot account

  1. In Console go to Settings → Integrations.
  2. Under CRM, open HubSpot.
  3. Click Connect HubSpot.
  4. Sign in on HubSpot and approve the access request. Use a HubSpot user who can grant contacts, companies, contact properties, lists, deals, and communication preferences.
  5. You return to the same page. The status says Connected.

Disconnect is on that page. If the page says HubSpot app credentials are not configured, Connect stays off until that app is set up for the environment.

2. Leads and contact lists

The page has two tabs. Stay on Leads and contact lists.

Sync smart leads

Turn this on to write leads into HubSpot.

  • A lead form on a web flow or a card flow becomes a HubSpot contact when the form has an email or a phone number. SMOC matches email, then phone, and creates a contact when neither matches.
  • The contact gets the company, first and last touch, ad click ids, and a note of the flow and the answers.
  • A positive LinkedIn reply is tagged Auto: Positive Lead in SMOC. With this switch on, that person is written to HubSpot with lifecycle Lead and lead status Connected, plus the LinkedIn profile, headline, and the reply.
  • A negative reply stays in SMOC.
  • These leads are kept off HubSpot lists. They are contacts, with a note.

Field-by-field detail is in Prospecting and public registry search.

Target LinkedIn campaigns from CRM lists

Turn this on, then pick contact lists under Lists.

The box loads contact lists from the connected HubSpot account. Search by name and add the ones you want. Each chip says Active or Static. SMOC keeps the HubSpot list id.

If the box says no contact lists came back, create a contact list in HubSpot under CRM → Lists, then reload this page.

Do-not-contact people are skipped. Customers and open deals are included.

Save copies every list you picked, Active and Static. After that, Active lists refresh daily at 06:00 UTC while this switch stays on. A Static list updates the next time you save.

That copy updates who is on the prospect list. It does not look up LinkedIn profiles. On the prospect list, Enrich new contacts and Enrich missing linkedin search only people who do not already have a LinkedIn profile.

LinkedIn URL property

On the same tab, pick the HubSpot contact property that stores a LinkedIn URL when you have one. A positive reply can then match an existing HubSpot contact by that property after email and phone. Leave it empty when HubSpot has no such property.

3. Company lists

Open the Company sync tab.

Turn on Sync company lists into prospect companies and pick company lists. The picker works the same way. If none come back, create a company list in HubSpot, then reload this page.

Save copies the companies. Active company lists refresh daily at 06:00 UTC while the switch stays on. Finding people at those companies is a separate enrich step and does not run from this sync.

Open prospect companies on that tab goes to the company list in Prospecting.

4. Save and check the log

Click Save. The page confirms that selected lists update in the background, and that sync runs for the switches you turned on.

Sync log on the same page lists each run: job, created, updated, skipped, and any errors. Before the first run it says No sync runs yet.

5. Use the list

Saved contact lists show up under Prospecting as imported lists, with the HubSpot list name. Assign one on a message flow’s Targeting settings the same way as any other prospect list.

A message flow enrolls and messages people on that list who already have a LinkedIn profile. People without one stay on the list until you enrich them.

Saved company lists show up under Prospecting → Companies.
